The basics

When and where is the Austin AI Conference?

Tuesday 4 May 2027, all day, at the Bastrop Convention & Exhibit Center, 1408 Chestnut St, Bastrop, Texas. There is also a VIP reception and early check-in on the evening of Monday 3 May.

Why is it called the Austin AI Conference if it is in Bastrop?

Bastrop is part of the greater Austin area, about 25 minutes east of downtown. We chose it deliberately: 316 free parking spaces, no downtown traffic, and a venue we can take over entirely rather than sharing with three other events.

How do I get there?

The venue is off TX-71, TX-21 and TX-95. Roughly 25 minutes from central Austin and about 40 from Austin-Bergstrom airport. Parking is free and on site.

How many people will be there?

We are planning for 500+ attendees and 30+ speakers. The room is capped, which is the point: it is small enough that you can actually meet people.

Tickets

What does a ticket cost?

Early Bird in-person tickets are $199 when presale opens on 29 September. VIP is $897, General Admission is $297, and a virtual Webinar Pass is $127. Groups of five or more get discounted pricing. Student pricing and complimentary-ticket codes will be announced separately.

What is the difference between VIP and General Admission?

General Admission gets you every keynote, the exhibit hall, lunch, event materials and the digital program. VIP adds premium seating, the VIP lounge, a meet and greet with speakers, an exclusive luncheon, a gift bag, early check-in on the Monday evening, and priority networking.

Can I attend online?

Yes. The Webinar Pass gives you a live stream of the keynotes, virtual exhibit hall access, live Q&A with speakers, the digital program, and a replay you can watch for 30 days afterwards.

Is lunch included?

Lunch is included with General Admission and VIP. VIP ticket holders also get the exclusive luncheon. Tell us about dietary requirements when you register and we will sort it.

Can I get a refund?

Tickets are currently planned to be nonrefundable unless the Austin AI Conference is canceled. The final ticket terms will be shown before checkout.

Can I transfer my ticket to someone else?

Yes. Transfers are planned, subject to a simple reissue process. The final process will be shown before checkout.

Speakers and programme

Who is speaking?

We are confirming the lineup now and publishing each speaker the day they sign, rather than posting a list of invited names that quietly shrinks as the date gets closer. Join the mailing list and you will get each announcement as it happens.

Can I speak at the conference?

Possibly. We look for people who have shipped something real, will show the numbers, will say what went wrong, and are not selling from the stage. Submit a talk at austinaiconference.com/speak. We review on a rolling basis and reply either way, including when the answer is no.

Can I volunteer?

Yes. We plan to accept up to 40 volunteers for a minimum four-hour commitment. The website signup will collect your contact details and social-media information; the signup link will be published when it opens.

Will talks be recorded?

Keynotes are streamed live for Webinar Pass holders and available as a replay for 30 days. Which sessions are published more widely afterwards is still being decided.

Sponsors and exhibitors

How do I sponsor the conference?

There are four levels: Platinum at $10,000 (limit 4), Gold at $5,000 (limit 8), Silver at $2,500 (limit 12), and Community at $1,000. There is also a $1,500 media package add-on and individual experience sponsorships like the coffee bar, networking lounge and Wi-Fi. Use the form on the sponsorship page.

Do sponsors get to speak?

Platinum sponsors get a 30-minute featured breakout session and a five-minute Main Stage introduction before a keynote. Gold gets a 15-minute breakout and a two-minute Main Stage introduction. The keynote stage itself stays reserved for the programme, which is exactly why the room is worth being in.

Do I get the attendee list?

Platinum sponsors receive the pre-event and post-event attendee list. Gold and Silver receive the pre-event list. Attendees are told this clearly when they register.

On the day

When can I check in?

VIP ticket holders can check in on the Monday evening at the reception, which means walking straight in on Tuesday morning. General check-in opens at 8am on Tuesday.

What should I wear?

Whatever you would wear to work. There is no dress code.

Is the venue accessible?

The Bastrop Convention & Exhibit Center is single level with step-free access throughout, and accessible parking close to the entrance. Tell us what you need in advance and we will arrange it, including reserved seating, dietary requirements or a quiet space.

Will there be somewhere to charge my laptop?

Yes. There are charging stations throughout the venue and Wi-Fi across the building.
